What is XenTrak?

XenTrak is a comprehensive system which manages all the resources a State or local government uses when managing an event or when responding to an emergency. The software uniquely catalogs resources and people, combined with a set of workflows to standardize, manage and track the collaborative requests and responses of Emergency Support Functions (ESF’s) within and across jurisdictional boundaries. The Xentrak collaborative resource system is consistent with the National Response Framework (NRF) and compliant with the NIMS (National Incident Management System) resource typing standards. It enables critical resource logistics and distribution including volunteer and donation management.

XenTrak provides the breakthrough that allows private resources to be integrated into the EOC operations thereby providing improved accessibility of these critical resources for emergency managers. Implemented as a secure Internet-based software application, XenTrak readily interoperates and enhances functionality with other EOC systems such as First Responder, Dispatch and Crisis Information Management Systems (CIMS). When connectivity is unavailable, data can be accessed from the database stored on the system such as the NOMAD tool or a standard laptop.

Xentrak was designed with an open architecture. This design facilitates new forms of information sharing, even those not yet anticipated. To better serve the emergency community, a focus group approach throughout the development lifecycle resulted in a tool designed to match the typical workflows of emergency managers. As a result of this feedback, the tool is scaleable, flexible, and supports a tiered response.

XenTrak allows governments and non-government organizations to prepare for and respond to disasters more effectively by ensuring that ALL required resources are available and ONLY needed resources are requested — thereby minimizing the influx of inappropriate donations, called by emergency managers “second disasters”.

Xentrak provides for data interoperability for resource management and can serve as a hub for disparate resource databases or as a standalone system. With XenTrak, local, regional, and federal government can inventory, assess, track, collaborate, and report on the vast resources given to government by private citizens and businesses, while still ensuring ownership and management of the resources remains with the specific support agency responsible for that resource.

Xentrak also serves as a volunteer management and donation tool and serves to track critical certification and training information. Volunteers can even log into the system for access only to their volunteer record and can maintain all their pertinent information including up to date availability schedules down to the date and hour level.
